
Italy Retreat Terms and Conditions

1. Agreement Overview
By booking a spot for the photography retreat in Italy (July 24–29, 2025), you (the participant) agree to the following terms and conditions. This agreement is made between [Your Name/Your Company] ("Organizer") and the participant.
2. Payment Terms

A non-refundable deposit of $1,500 is required at the time of booking to secure your spot.

Retreat pricing is $4,000 for just the shoot, all-inclusive pricing is $6,000.

500$ discount applies if booked by May 4, 2025.

The remaining balance is due by June 15, 2025.

Payments can be made via [Payment Methods: PayPal, Stripe, etc.]. Payment plan available.

The retreat price includes model shoots, dress rentals for models, bouquet and details, and other expenses related to the shoot.

The retreat price doens't include cost required for sight-seeing, meals, alcoholic beverages or other beverages purchased during the trip, transport to or within Italy, chair car or cable car costs, gondola fees, water taxis etc.

The retreat price doesn't include transportation to and from the airport, airfare to Venice or water taxis from main land to Venice.

All payments are in USD and must be received by the due dates stated above.

For the final payment, if paid by credit card, transaction fee of 3.5% applies.
2.1. Accommodation & Room Sharing
If a participant prefers that we book a private room for you, we can do so for 1500$ for the duration of the retreat at reputable hotels.subject to availability.
3. Cancellation Policy

Deposit: The $1,500 deposit is non-refundable under all circumstances.

Cancellation by Participant:

If the participant cancels their spot before June 15, 2025, participant will receive a refund of any payments made in excess of the non-refundable depost of $1,500 minus any credit card transaction fees.

Cancellations made after June 15, 2025: No refund will be issued, as all costs will have been incurred by the Organizer.

Cancellation by Organizer: In the unlikely event that the retreat is canceled by the Organizer due to unforeseen circumstances, all payments made by the participant will be fully refunded.
4. Travel and Insurance

Participants are responsible for organizing and paying for their travel to and from the retreat location.

We strongly recommend that all participants purchase travel insurance that covers trip cancellation, medical expenses, and travel disruptions.
5. Health and Safety

By booking, participants confirm that they are in good health and capable of participating in the physical activities planned during the retreat (such as photo shoots, hiking, etc.).

The Organizer reserves the right to deny participation to any individual whose health or behavior could jeopardize their own safety or the safety of others.

The Organizer is not liable for any accidents, injuries, or damages incurred during the retreat.
6. Photographic and Media Release

By attending the retreat, participants grant the Organizer permission to use any photographs or videos taken during the event for promotional purposes (such as on social media, websites, or in marketing materials).

If a participant does not wish to be photographed, they must inform the Organizer in writing prior to the event.
7. Code of Conduct

Participants are expected to behave respectfully towards other guests, the models, and the Organizer’s team throughout the retreat.

The Organizer reserves the right to remove any participant from the retreat for disruptive behavior or failure to comply with the retreat’s rules. No refund will be issued in such cases.
8. Retreat Schedule

The retreat schedule, including locations, meals, and photo shoots, is subject to change based on weather conditions, availability, or other factors beyond the Organizer’s control.

The Organizer will make reasonable efforts to provide a comparable alternative if any activity is altered or canceled.
9. Participant Responsibility and Attendance

The retreat schedule is designed to maximize both learning and enjoyment. It is the participant’s responsibility to arrive on time for all scheduled activities.

No refunds or partial credits will be given for missed sessions, late arrivals, or early departures.

The Organizer will not delay or adjust the schedule to accommodate late arrivals or personal scheduling conflicts.

Meals provided as part of the retreat are included in the cost. If a participant chooses to eat elsewhere or skip a provided meal, the cost of that meal will not be reimbursed or deducted from the retreat price.

Participants are responsible for being present, respectful of the schedule, and mindful of group dynamics.
10. Intellectual Property
All materials shared or presented during the retreat—including but not limited to teaching materials, shoot concepts, styling guides, planning documents, retreat structure, and any branded content—are the exclusive intellectual property of the Organizer.
Participants may not copy, reproduce, distribute, or teach these materials (in part or in whole) in any form—whether in-person or online—without prior written consent from the Organizer.
This includes using styled shoots or concepts from the retreat as part of a competing workshop, course, or retreat, whether free or paid.
11. Content Usage & Credit Requirements
Participants agree to credit and tag all collaborating vendors—including models, hair and makeup artists, florist, and the retreat organizer—in any public sharing of images from the retreat. This includes social media posts, blog posts, portfolio use, and any promotional or commercial usage.
A complete credit list will be provided at or after the retreat. Failure to credit may result in restricted future usage of images.
12. Liability Waiver
By participating in the retreat, participants waive any claims against the Organizer for injury, damage, or loss of personal property during the retreat. The Organizer is not liable for any accidents, injuries, or loss of property.
13. Force Majeure
The Organizer will not be held responsible for any delay or failure to perform under these terms if such delay or failure is caused by unforeseen circumstances beyond their control (e.g., natural disasters, acts of terrorism, government restrictions, etc.).
14. Indemnification
Participants agree to indemnify and hold harmless the Organizer, its employees, contractors, and agents from any claims, losses, or damages that may result from their participation in the retreat.
15. Governing Law
This agreement shall be governed by and construed in accordance with the laws of Washington State, USA. Any disputes arising from this agreement shall be resolved in the competent courts of King County, WA.
